Overview of Meeting Technical Details
The August 2025 ESCC Meeting will be online only. This will be an interactive meeting to provide all attendees a chance to engage with presenters and with each other through open Q&A, large-group discussions, chat, polling, small breakout discussions, and more.
We invite you try to treat this similarly to if you were in-person by setting aside time to focus on the meeting so that you can have a more rewarding and enjoyable meeting experience.
The meeting will run August 12, 13, and 14, 2025, from 12:00PM-5:00PM (Eastern Time) each day. Breaks will be included throughout the meeting.
Video Conferencing
We will use Zoom for the meeting video conferencing. All registrants will receive a calendar invitation with the meeting link.
For the best virtual meeting experience we recommend:
- Connecting to Zoom via computer/laptop, rather than a mobile device so that you have a clear view of the shared materials and easy access to the tools we'll use during the meeting.
- Using the latest Zoom software.
- Check that you have the latest Zoom software version installed (In Zoom desktop app, look under Zoom Workplace > Check for updates).
- If you don't have Zoom already installed, you can download from https://zoom.us/download or speak to your organization about Zoom software approved for your use.
- You can also access Zoom via a standard web browser if you cannot install the software directly.
- A working microphone and speakers with good sound, so that you can participate in discussion.
- A working webcam is encouraged.
- Attendees will be asked to update their display name to show your name and affiliation.
- Attendees do NOT need Zoom accounts.
Polls and Q&A
We plan to use a tool called Slido during the meeting for polling and questions.
- Slido can be accessed via web browser at https://www.slido.com/ or a free app for your phone/tablet.
- Attendees do NOT need Slido accounts.

Note to Speakers and Presenters
We recognize that not everyone uses Zoom regularly as a presenter. ESnet is available to provide support for all speakers to enable the best experience for both you and participants. Please reach out to Cian Dawson (cbdawson@es.net) by August 8 with any requests or questions about the following:
- The meeting coordinators are available for a quick how-to call or to test run your slides in Zoom anytime before August 8, 2025.
- Speakers can present (share) their own slides.
- All speakers are asked to provide their slides as a PDF no later than 5PM the day before their presentation. The link will be email directly to speakers.
- ESnet will upload the slides to the ESCC Customer Service Portal (login required) before the start of the meeting each day so that all meeting participants can access them.
- These files also serve as a backup in case presenters have any problems sharing their screens.
- If speakers would like to use any polls or other survey-type tools, ESnet can set those up in advance. (To keep things simple for participants, please do not set up separate Slido events or use other polling tools.)
- ESnet can also set up breakout rooms for small group discussions.
